HDAA OFFERS ASSESSMENT FOR CERTIFICATION AGAINST ISO 9001
ISO 9001 - Quality Management Systems (QMS) certification helps organisations design service delivery systems to meet customers' quality requirements and regulatory requirements, while enhancing customer satisfaction and structuring continual improvement into their "way of doing things".
With more than a million organisations world-wide have been certified to ISO 9001, it is fair to say that ISO 9001 certification is globally recognised as the benchmark for measuring organisations' quality management systems. HDAA is proud to be accredited to provide ISO 9001 certification and we are able to work with you to enable this to occur.
The benefits of achieving certification to the ISO 9001 - Quality Management Systems standard are evident. These benefits are not only from more consistent application of business processes but also from a marketing and organisation positioning perspective. Organisations certified to ISO 9001 are recognised as organisations that perform to a higher customer focused standard.
Certification to ISO 9001 provides a public statement that an independent organisation has assessed your organisation and found it to be an organisation that, because of its business processes, operates to benefit: a) customers, b) employees, c) funders/shareholders, and d) suppliers.
By participating in the initial certification process as well as on-going monitoring and re-assessment, organisations can demonstrate that they have a comparative advantage in their performance.
The focus of HDAA is on working with health and disability service providers to support improvement. Our approach is to get along side you to design an approach that meets your particular situation and needs. For instance, prior to the assessment process beginning we can work with you to complete a "pre-audit" or "gap-analysis" as well as provide you with a documented plan of improvement that guides you toward success.
One of the key benefits of our approach is that we are able to combine the ISO 9001 assessment with other standards assessment (e.g., Department of Human Services Standards in Victoria) and this provides a much more integrated and cost effective approach to your assessment and quality development program.
Changes to ISO 9001
The current version of the standard is ISO 9001:2008. This standard has been extensively reviewed internationally by the IAF and member bodies. The final draft of the revised standard, ISO 9001:20015 has been released and is expected to be implemented from September 2015. At the time of release transition details will be published by JAS-ANZ. It is anticipated that a 3 year transition phase from ISO 9001:2008 to ISO 9001:2015 will be implemented.
ISO 9001:2015 employs a process approach, which incorporates the Plan-Do-Check-Act (PDCA) cycle and risk-based thinking.
- The process approach enables an organization to plan its processes and their interactions. The PDCA cycle enables an organization to ensure that its processes are adequately resourced and managed, and that opportunities for improvement are determined and acted on.
- Risk-based thinking enables an organization to determine the factors that could cause its processes and its quality management system to deviate from the planned results, to put in place preventive controls to minimize negative effects and to make maximum use of opportunities as they arise.
Once the standard is released HDAA will provide more detail on the transition and impact for services undertaking ISO 9001 certification and assessments.
Initial meeting and proposal
We conduct the initial visit to gain a good understanding of your operation, team, quality approach and your certification requirements. We will be able to talk through your requirements and answer questions that you might have. We will also be able to talk through the certification process.
Once we understand your requirements and after our meeting we will provide you with a no obligation proposal detailing the audit approach and other details such as pricing.
Once you have reviewed and accepted the proposal this will form The Agreement; a formal contract between your organisation and HDAA Australia Pty Ltd, and outlines your acceptance of the certification process, the rules governing certification and related certification marks as well as the appeals and contractual terms and conditions.
A Stage 1 assessment is carried out on-site at your central office. It assesses your policies and procedures and other documentation associated with your quality management system. The aim of the Stage 1 assessment is to ensure that your organisation is likely to be ready for the certification assessment (also known as Stage 2 assessment).
At the conclusion of the Stage 1 assessment you will receive a Report that includes a plan of action for development should this be required. The Stage 1 report provides an indication of what will be assessed at the Stage 2 assessment.
The Stage 2 of the certification assessment is carried out at your central office and a sample of sites. Its purpose is to determine whether your Management System complies with the ISO 9001:2008 certification standard. The length of time that it takes to carry out the certification assessment will depend on your organisation, number of sites, complexity and the number of staff. The detail will be planned with you well in advance of the assessment.
At the completion of the Stage 2 certification assessment the auditor holds a closing meeting with you at which time an overview of the results of the assessment are discussed.
After the on-site assessment a draft report is sent to you and this details any improvements that are required to meet the standards, an observations table that may be helpful in your quality development, and importantly a description of a sample of those processes, systems and activities that you have that achieve the requirements of the standards.
Once we receive the report back from you the report and auditor recommendation is sent to a Certification Panel that will confirm (or may not) the assesors recommendation. After that the report is finalised and sent to you in your own personalised certification folder.
Your organisation will then be granted the use of the HDAA Mark and the JAS-ANZ mark which can be used on stationery and marketing material. Your organisation will also be listed on HDAA's Register of Certified Organisations and the JAS-ANZ Register of Certified Organisations.
Post-certification (surveillance) assessments
ISO 9001 certfication contains a requirement for post-certification assessments to be carried out twelve month intervals from the date of your initial certification. Surveillance assessments are carried out in the same manner as the Stage 2 certification assessment and are to provide assurance that your system continues to meet the standard and is maintained.
Post-certification assessments usually occur annually and are generally shorter in duration because only some of the standard are being assessed.
Once every 3 years after the certification assessment a further full assessment needs to be completed. The aim is to confirm that the systems in their entirety are working well and that they continue to align with the requirements of the standards. The duration of the re-certification assessment is generally similar to the initial Stage 2 assessment.
Generally,a new Certificate for a further 3 year cycle is issued at this point.
Follow up assessment
A follow up, or Progress Assessment is needed if after an assessment visit:
- There are a large number of improvements required to meet the standards.
- There are non-conformities that are of a moderate to high risk.
- There are substantial changes to your organisation.a
- A substantial complaint has been raised with HDAA or a breach of certification has been reported to HDAA or a related stakeholder and this is communicated to us.
- Other conditions as determined by HDAA where the integrity or compliance of the system, process or product needs to be verified
- If you wish to extend the scope of your certification.
